AI proposal drafting: turn client requirements into a reviewable first draft

For consulting, software implementation and project service teams: organize requirements, reuse approved sources and flag unconfirmed commitments. FDE connects enterprise AI with proposal preparation and delivery review.

A client changes the requirements in the afternoon. Presales is still searching old proposals, while the project lead discovers an unconfirmed deadline in the draft. Sales must explain it again and delivery must reassess the plan. Enterprise AI can connect requirements, evidence and approval status so people can focus on the choices that require judgment.

Give every proposal commitment a source and an approver

AI drafts from authorized materials, flags missing requirements and leaves dates and fees for the responsible approvers. An FDE connects sources, drafting, review and version records into a workflow the team can maintain.

01

Start with the causes of repeated revisions

  • Scattered requirements: notes, emails and messages each contain part of the request, prompting repeated questions.
  • Difficult reuse: old client names, service scopes and delivery conditions can remain in a new draft.
  • Unconfirmed commitments: sales enters a target date before delivery has assessed resources, dependencies and scope.
  • Untracked changes: a revised requirement may affect several sections, prices or acceptance conditions.

Pilot one service type with reusable materials. Sales, presales and delivery leads agree their review responsibilities.

02

Align four inputs before drafting

Proposal inputs and responsibility
InputRetainConfirmed by
Client requirementsRequirement ID, source location, project and confirmed or pending statusClient contact and business owner
Reusable materialsCapabilities, methods, approved case references and versionsSource owner and delivery lead
Delivery scopeInclusions, exclusions, dependencies, milestones and acceptance criteriaProject lead
Commercial terms and schedulePricing basis, fee scope, resources and date statusApprovers with the relevant authority

Scope the library by project and role. Confirm reuse authorization and remove sensitive details where required before adding past client materials.

03

From requirements to an approved document

  1. Organize requirements and gaps

Import authorized records with requirement IDs and citations. Put conflicts, incomplete scope and missing approvers into a clarification list.

  2. Match current source material

Retrieve by service type, project scope, version and access rights. Retain citations; do not invent unsupported capabilities, numbers or client outcomes.

  3. Draft with a coverage checklist

Generate objectives, scope, steps, deliverables, acceptance criteria and open questions. Map each requirement to its draft section for review.

  4. Finalize after owner review

Sales checks client requirements, delivery checks feasibility and resources, and commercial owners check fees. Retain comments, versions and the final file. External sending follows the company’s approval process.

04

Handle a conflicting date explicitly

Simulated example: the client wants to start this month, an old template says completion takes two weeks, and delivery is awaiting interface documentation. Record the client expectation, historical template and current dependency separately, then request schedule confirmation.

The draft can describe proposed preparation work and steps to reassess when the documentation arrives. Add specific dates after approval and retain the decision. If the client later adds another system, review scope, timing and acceptance conditions again.

This workflow example is not a client case or a promise of a fixed delivery period.

05

What the FDE delivers

A Forward Deployed Engineer (FDE) follows a real presales workflow and connects business rules to existing documents, knowledge libraries or project systems. Agree available integrations, the output format and human review points within the pilot scope.

  • Requirement and source definitions: fields, states, source locations, versions and access scope.
  • A working preparation workflow: source connections, draft templates, gap flags, citations and review stages.
  • Coverage and change records: requirements mapped to sections, owners, open questions and revisions.
  • Acceptance and maintenance materials: test examples, findings, exception handling, source updates and role-specific training.

Test six cases before release

Acceptance checks for AI proposal preparation
Test caseExpected resultEvidence
Missing key conditionsAsk clarification questions and preserve pending statusOriginal requirements and gap list
Unsupported capabilityFlag missing evidence for owner reviewCapability sources and citations
Old client content appearsRemove inapplicable content and check reuse authorizationProject identifiers and approved source scope
Unapproved deadline or priceDo not present it as a confirmed external commitmentApproval status and final file
A requirement changesIdentify affected sections and review them againRequirement changes and version comparison
Cross-project or role accessUse only sources available to the current accountRole tests and access to cited files

Agree examples and pass conditions before testing. Keep failed cases and retest records after fixes; fluent writing alone is insufficient.

07

Measure the pilot against actual work

Record drafting, source-finding and revision time separately from waiting for client input. Compare proposals of similar scope and complexity rather than extending results from a simple project to all work.

Check requirement coverage, unsupported statements, unconfirmed commitments and review rounds. If faster drafting increases rework, investigate sources, templates and responsibility points. Do not assume a savings percentage or equate document volume with sales results.

08

Bring three inputs to a scoping discussion

Begin with one service type, a defined set of roles and one output format. Discuss scope and fees from the sources, interfaces, permissions and acceptance work before extending the workflow.

  • An authorized, de-identified requirement record and the questions your team repeatedly clarifies.
  • An existing proposal template with the structure to retain and sections that often need rework.
  • Source locations, reviewing roles and the document or project tools you want to connect.
